Clients in Production represent companies or individuals you sell to. New clients go through an approval workflow before they become active.
Your Role on This Page
- Admin
- Department Lead
- Team Lead
- Member
As an Admin, you can manage all clients and approve new client registrations. You have full control over the client database and can approve or reject pending clients.
As a Department Lead, you can view department clients. You can see clients associated with your department's sales activities.
As a Team Lead, you can view team clients. You can see clients your team members are working with.
As a Member, you can view and register new clients. You can add new client registrations that are pending approval, and work with approved clients in your pipeline.

Viewing Clients
- Go to Sales > Clients
- See summary stats: Total, Pending Approval, Active, Inactive
- Search and filter the client list
- Click a client to view their full details

Registering a New Client
- Go to Sales > Clients > New Client
- Fill in the registration form:

- Click Register Client
The client starts in Pending Approval status.
Approval Workflow
New client registrations require approval from a Sales Lead or Administrator:
Registered → Pending Approval → Approved (Active)
→ Rejected
- Sales Leads and Administrators can approve or reject clients
- Rejected clients can be re-submitted with corrections
- Only approved clients can be used in quotes, invoices, and orders
Client Detail View
The client detail page shows:
- Overview — Company info, contact details, status
- Ledger — Financial history (invoices, payments, outstanding balance)
- Activity — Recent interactions and transactions
Client Ledger
The ledger provides a financial summary for each client:
- Total invoiced amount
- Total payments received
- Outstanding balance
- Transaction history with dates and amounts

Managing Clients
- Edit — Update client details from the detail view
- Deactivate — Mark inactive clients who are no longer ordering
- View Ledger — Check financial standing at Sales > Clients > [Client] > Ledger
Only approved clients appear in dropdown selectors when creating quotes, invoices, or purchase orders. Register and get approval for new clients before creating documents for them.
