Quotes are formal price quotations sent to clients. They include line items, pricing, and can be exported as PDFs or sent directly via email.

Viewing Quotes

  1. Go to Sales > Quotes
  2. See all quotes with status, client, amount, and date
  3. Filter by status or search by quote number
  4. Click a quote to view full details

Quote Statuses

StatusDescription
DraftBeing prepared, not yet sent
SentSent to the client
AcceptedClient accepted the quote
RejectedClient declined
ExpiredPast the validity date

Creating a Quote

  1. Go to Sales > Quotes
  2. Click New Quote
  3. Fill in the quote details:

NotesAdditional terms or notes

Adding Line Items

Each quote has one or more line items:

Discount (%)Discount percentage

The system automatically calculates:

  • Line total = Quantity x Unit Price - Discount + Tax
  • Subtotal = Sum of all line totals
  • Total = Subtotal with applicable taxes
  1. Click Save to create as draft, or Save & Send to send immediately

PDF Generation

Quotes can be exported as professional PDF documents:

  1. Open the quote detail view
  2. Click Download PDF or Send to Client
  3. The PDF includes company branding, line items, totals, and terms

Sending Quotes

To send a quote to a client:

  1. Open the quote
  2. Click Send
  3. The system sends the quote PDF to the client's email
  4. Quote status changes to Sent

Duplicating Quotes

To create a similar quote quickly:

  1. Open an existing quote
  2. Click Duplicate
  3. A new draft is created with the same line items
  4. Edit as needed and save

Use the duplicate feature when creating similar quotes for different clients — it saves time on entering line items.
